Geeks I.T. Melbourne provides onsite and remote IT support for dental practices across Melbourne and its suburbs, on 03 7057 2770. If the reception PC won't print a label, the Wi-Fi drops between surgeries, or nobody is sure where last night's backup went, you need someone who can sort it out. This page covers what we do for dental practices, what we don't do, and how our hourly rates work.
What IT support does a dental practice in Melbourne need?
A dental practice typically needs reliable backups of patient records, working reception and chairside workstations, a stable network and Wi-Fi, printers and label printers, Microsoft 365 email, and someone to call when something stops working. We cover each of these onsite and remotely across Melbourne.
Why dental practices need different IT support from a typical office
Appointments, patient notes, imaging and billing all depend on a handful of machines being available through the day, and a problem in one room can stall the whole practice. Take a common scenario: a chairside PC can't open a patient's images between appointments. The cause might be a network fault, such as a failing network point or a switch that has dropped the room, or it might be the imaging application or sensor itself. We check the workstation and the network first, and if the fault is on our side we fix it. If it points to the imaging application or the sensor, we say so and you take it to your vendor, who looks after the application and the device.
The front desk is the busiest computer in the building
The reception PC handles bookings, phone calls, payments, reminders and printing, often all at once. When it slows down or loses its printer, patients are standing at the desk waiting. We look after these machines: updates, printer connections, label printers, email and the day-to-day faults that interrupt the front desk.
Chairside workstations are shared and always in use
Each surgery usually has a computer that clinicians use between patients, often with a second screen and shared logins. They need to start up, connect to the network and open what the clinician needs without fuss. We set up and support the workstation itself, including the software side and the connection back to the rest of the practice.
Shared logins mean nobody can tell who did what on a machine, and one password ends up known by everyone. Where practical, we replace them with individual Windows or Microsoft 365 accounts for each staff member, and we set an automatic screen lock so a surgery PC doesn't sit open on a patient's record when the room is empty. We don't repair chairside clinical hardware (more on that below).
The workstations and network your practice software runs on
Your practice software is only as dependable as the computers and network underneath it. A patchy Wi-Fi access point, an old switch or a workstation that is out of space can all look like a software fault. We support the workstations and network your practice software runs on, so those basics are sorted before anyone blames the application. We work alongside your practice-software and imaging suppliers: we handle the workstations, network and Windows side, and they handle the application and the device. For network layout and protection, see our computer network security service.
The practice server or database PC
Most practices have one machine that holds the practice database, whether that is a dedicated server or a PC doing the job. Every surgery and the front desk depend on it. We keep that machine updated, make sure it is backed up, and check that it is reachable from every surgery on the network. We work alongside your practice-software vendor, whether that is Dental4Windows/Centaur, Exact, Oasis, Praktika, Core Practice or another package. The vendor looks after the application and its database; we look after the machine, the Windows side and the network it sits on. We don't claim certification with or integration into any of these products.
Patient records need a backup you can rely on
The questions worth asking are simple: which drives and folders hold the records, where is the backup copy kept, and when did anyone last confirm it can be read? Here is what we do about it:
- Scheduled backups: we set up backups of the drives and folders that hold patient and business records to run on a schedule, so they don't depend on someone remembering.
- A copy off the premises: we keep a copy away from the practice, offsite or in the cloud, so a problem in the building doesn't take the backup with it.
- A test restore: we restore files from the backup to confirm the copy can actually be read.
We set up backups and move data between machines through our data backup and transfer services.
Patient data, privacy and security
Dental practices are health service providers, so the Privacy Act 1988 and the Notifiable Data Breaches scheme apply regardless of annual turnover. We don't claim compliance certification, and we can't guarantee any outcome, but on the IT side this is what we do:
- Individual accounts: replacing shared logins with individual accounts for each staff member where practical.
- Automatic screen lock: setting chairside and reception PCs to lock automatically when nobody is using them.
- Microsoft 365 MFA: turning on multi-factor authentication for Microsoft 365 and sorting out sign-in problems.
- After a suspicious email or suspected compromise: we help you reset passwords, check sign-in activity and check mailbox rules for anything that shouldn't be there.
- Updates: scheduling Windows updates outside clinic hours so they don't interrupt the day.
- Guest Wi-Fi: separating guest Wi-Fi from practice devices.
What we support for dental practices
- Printers and label printers: connecting, configuring and troubleshooting reception, surgery and back-office printers. See printer setup services.
- Wi-Fi and network: access points, dropouts, and checking network points and switches when a room keeps dropping off, so every room is on the same reliable network.
- New workstation setup: unboxing, installing software, connecting printers and moving files across. See computer setup.
- Email and Microsoft 365: mailboxes, sign-in problems, shared inboxes and getting staff set up on their devices.
- Remote fixes: software and settings problems we can resolve by connecting to the computer over the internet. See remote support.
What we don't do
We want to be clear about the limits so you know who to call for what.
- We do not repair X-ray sensors, OPG or other imaging equipment, or chairside hardware. Those faults go to the equipment supplier or manufacturer.
- We do not do board-level or screen repairs, and we do not repair laptops.
- We don't repair desktop hardware beyond diagnosing the fault and SSD or RAM upgrades; if a workstation has failed we'll diagnose it and help you set up a replacement.
- Parts we supply carry the manufacturer's warranty only.

Onsite vs remote: which do you need?
Some problems need us in the building, such as a dead network point, a printer that won't stay connected or a new workstation to set up. We make onsite visits to dental practices across Melbourne, including the Melbourne CBD and Southbank, inner suburbs such as Richmond, Hawthorn and St Kilda, the eastern suburbs around Camberwell, Box Hill and Doncaster, bayside areas such as Brighton, and the inner west including Footscray. Other problems are software and settings problems we can look at over a remote connection. Both have a one-hour minimum and no call-out fee.
| Onsite | Remote | |
|---|---|---|
| Rate | $205/hour | $125/hour |
| Minimum | One hour | One hour |
| Call-out fee | None | None |
| Suits | Network and Wi-Fi work, printers and label printers, new workstation setup, network points, cabling checks and setting up new equipment | Sign-in problems, email and Microsoft 365 issues, software and settings faults on a reception or surgery PC |
If you are not sure which one fits, tell us what is happening when you call and we'll say which makes sense.
Ongoing IT plans for dental practices
Our managed plans for regular support are set out on the business IT support page.
Dental IT support questions
How much does dental IT support cost in Melbourne?
Our rates are $205/hour onsite and $125/hour remote, with a one-hour minimum and no call-out fee.
Can you fix a reception computer remotely?
Often, yes, when the problem is software, settings, email or sign-in. We connect to the computer over the internet and work on it with you. If the fault turns out to need someone in the building, we'll tell you and arrange an onsite visit. More detail is on our remote support page.
Do you offer ongoing IT plans for dental practices?
Yes. Managed plans are listed on our business IT support page, and you can call us on 03 7057 2770 to talk through which suits your practice.
Do you repair X-ray or imaging equipment?
No. We support the workstations and network around imaging software, and refer imaging hardware faults to the equipment supplier.
