Melbourne Business Email Specialists

Microsoft 365 & Google Workspace Setup & Migration Melbourne

Moving off an old ISP or web-host mailbox? Setting up business email for the first time? We set up, migrate and support Microsoft 365 and Google Workspace for homes and small businesses across the Melbourne CBD, Richmond, South Yarra, Box Hill, Glen Waverley, Preston, Footscray, Dandenong and Frankston — on-site or remotely.

4.9 from 123 Google reviews

A lot of the Melbourne small businesses and home offices we help are running email on something that was set up once and never touched again — an ISP mailbox, a free Gmail address on the business card, or a hosting account nobody has the password for. Microsoft 365 and Google Workspace give you proper business email, shared calendars and file storage, and we move you across without the week of missing mail people dread.

What We Do

What We Set Up, Move and Fix

Email Migration

Move mail, folders, contacts and calendars from BigPond, iiNet, Optusnet, Gmail, cPanel or another tenant — without losing a message.

New Business Email

Set up you@yourbusiness.com.au on Microsoft 365 or Google Workspace, with your domain connected properly.

SPF, DKIM & DMARC

Add the domain records that stop your mail landing in junk and make it harder for scammers to impersonate you.

Shared Mailboxes & Calendars

info@ and accounts@ mailboxes, shared calendars and meeting rooms set up so the whole team can see them.

Multi-Factor Authentication

Turn on MFA for every account, with backup options, so a stolen password alone is not enough.

New Starters & Leavers

Add a new staff member, or close someone’s account and keep their mail — without paying for licences you no longer need.

Good to Know

How a Move to Microsoft 365 Works

Every migration follows the same order, which is what keeps it painless. First we look at what you have — how many mailboxes, whether there are shared addresses like info@ or accounts@, where your domain is registered and who controls its DNS. That tells us how long the job is and whether it can be done remotely.

Next the new mailboxes are created and your existing mail is copied into them while the old system keeps working. Nobody notices anything at this stage. When the copy has caught up, we change your domain's mail records so new email starts arriving in Microsoft 365 or Google Workspace, then do a final pass to pick up anything that landed in the old mailbox during the switch.

Finally we set up each person's computer and phone, check that sending and receiving works, and walk you through the new login and multi-factor authentication. The old mailbox is left alone until you are happy everything is there.

Good to Know

Why Melbourne Small Businesses Make the Switch

The usual trigger is a problem: a full mailbox, an ISP email that is being wound down, a staff member who left with the only password, or customers saying your emails are going to their junk folder. Business email on your own domain solves all four, and it means your email no longer depends on which internet provider you happen to use.

It also closes a common security gap. Old ISP and web-host mailboxes rarely support multi-factor authentication, and they are a favourite target for scammers who take over an account and send fake invoices to your customers. Microsoft 365 and Google Workspace both support MFA and the domain protections that make that much harder.

What You Get

Included in a Migration

  • Check what you have now: mailboxes, aliases, forwarders and who uses what
  • Recommend Microsoft 365 or Google Workspace and the right licence for each person
  • Create the new mailboxes and connect your domain
  • Copy existing email, folders, contacts and calendars across
  • Switch your MX, SPF, DKIM and DMARC records at the right moment
  • Run a final catch-up so nothing sent during the switch is missed
  • Set up Outlook or Gmail on every computer and phone
  • Turn on multi-factor authentication and show everyone how it works
Simple Process

How It Works

1

Tell Us What You Have

Book online or call. Tell us your current email provider, how many people use it and what you want to end up with.

2

We Plan & Copy

We set up the new mailboxes and copy your mail across while the old system keeps working — no interruption.

3

Switch Over & Set Up Devices

We re-point your domain, catch up any last emails and set up every computer and phone.

Your Questions Answered

Frequently Asked Questions

We charge by the hour: $125 per hour for remote work and $205 per hour on-site, with a one-hour minimum. A single mailbox moving to a new provider is usually a remote job. A small office with several mailboxes, shared calendars and a domain to re-point is scoped first, so you know roughly how many hours it will take before we start. Your Microsoft or Google licences are billed by Microsoft or Google, not by us.

Not if it is done in the right order. We copy your existing mail, folders, contacts and calendars into the new mailbox first, switch your domain's mail records over only when the copy is complete, and then run a final catch-up for anything that arrived during the switch. Your old mailbox stays in place until you have checked everything is there.

If your team lives in Word, Excel and Outlook, or you share Excel files with clients and accountants, Microsoft 365 is usually the better fit. If you already use Gmail, Google Docs and Google Drive and work mostly in a browser, Google Workspace is simpler. We are happy to talk it through before you buy anything — both are good, and the wrong one is only the one your staff won't use.

Yes. Most ISP and web-host mailboxes can be copied over IMAP into Microsoft 365 or Google Workspace, including the folders you have built up over the years. If you only have the mail stored inside Outlook on one computer (a .pst file), we can import that too.

For business email, yes — an address like you@yourbusiness.com.au looks more trustworthy than a free or ISP address and it stays with you if you change providers. If you don't have a domain yet, we can help you work out what to register and connect it for you.

They are records on your domain that prove your emails really come from you. Without them, more of your mail lands in customers' junk folders and it is easier for scammers to send fake emails pretending to be your business. We set all three up as part of every business email setup.

Yes. We connect Outlook or Gmail on each computer, set up mail, calendars and contacts on iPhones and Android phones, and turn on multi-factor authentication so a stolen password alone can't get into the account.

Yes. Plenty of Melbourne customers call us for one-off jobs — adding a new starter, recovering a deleted folder, fixing a phone that stopped syncing — at the same hourly rates. If you would rather have ongoing monthly support, we tailor a plan to your business and quote it.

No Fix, No Fee applies to standard remote and on-site technical support where we are unable to resolve your issue. It excludes hardware repairs, does not guarantee a resolution within the minimum one-hour visit, and does not cover additional labour time or parts, which remain payable. Where additional work is quoted and not accepted, No Fix, No Fee does not apply to that work.
